MiDiv Convention Solo Roundtable & NEWB Notes – 2012

WAIVERS
• Should be an assigned worker position
• Use people who physically can’t chase cones
• What to make sure you have at the waiver stations:
o Minor waivers, weekend m’ship forms, all wristbands at the gate
o Promotional material
o EZ Up, cooler & chairs OR cars
• Don’t forget to relieve your waiver person
• Radio
• Make sure the person assigned knows what’s going on & how to do the job

COURSE
• DESIGN STUCK DUE TO SITE RESTRICTIONS
o Set up same course annually and keep records for that design
• TOO BIG OF SITE --- MANAGING WORKERS
• TO BE COURSE DESIGNER: CHECK EGO AT THE DOOR:
 SAFETY ISSUES
 PARTICIPANT DEMOGRAPHIC (NEWBS)
• COURSE LAYOUT – HOW EASY IS IT TO FOLLOW
• TOO MANY CONES LINING THE COURSES: WATCH OUT FOR CATTLE SHOOTS
• DESIGN CHECKLIST: SAFETY FIRST – START & FINISH SAFETY FIRST – PROPERLY DESIGNED ELEMENTS – SMOOTH – MAKE SURE IT FLOWS – READABILITY AND NATURAL PROGRESSION FROM ONE GATE/ELEMENT TO THE NEXT – K.I.S.S. – FAST/SLOW ALTERNATING – INPUTS (NOT TOO MANY BUT NOT TOO FEW) – DO NOT RELY ON CHALK TO FIND THE COURSE – INCLUDE COURSE DESIGN WITH TRAFFIC FLOW TO/FROM COURSE AND TIMING STRUCTURE – JR CONSIDERATIONS
• IT’S NOT A CONE HITTING CONTEST (RR AND WORKER FATIGUE AND T&S ISSUES)
• Post past course designs online

REGISTRATION
• Pre-registration discount
•  line at registration – pre-reg line/walk-up line
• Greeter to get newbs where they need to go (in the slower line)
• MSR assigns weekend m’ship number online now
• More than one person at registration – makes it more friendly (not hammered busy)
• Waivers ---- newbs “what to do next” at gate
• Waivers --- do you want to ride along with someone? (have weekend m’ship forms there)
• Waivers --- Block non-waiver worker entrances

Tech
• Suggestion – car should be ready to grid when techs
• Annual tech requirements
o 2 yr experience level
o no tape numbers
o annual member
• Encourage drivers to demand a good tech inspection
• When:
o Before registration (to catch unfixable issues)
o If not pre-registered --- registration/tech slip completed at tech (classed, etc.)
• Every participant spends time at tech --- best place for good will hunting. This is THE BEST place to introduce newbs.
• No single tech lines – time efficiencies (one crew going back & forth from line to line)
• JR KART, FSAE and F125 – tech requirements (not good candidates for annual)
• Helmet over roll bar with non-factory belts --- doesn’t pass tech!

GRID
• 2-driver cars – face 1-driver car grid
o At one end
• Grid workers communicate with drivers – who they’re after ---- COMMUNICATE WITH the drivers
• Tell everyone to be aware of their surrounds
• A grid worker can make or break the day for a driver
• Be specific on instructions to newbs when helping to set up grid
• Solo cup number caps for grid markers – cut bottoms off
• Doug Gill has pattern for paper grid markers
• Use carpenter crayon to mark grid spots & course

Workers
• Be nice to your workers
• Not working:
o #1 Find out why
o #2 document it --- feedback loop
o You have to check them in before the heat work assignment
• Cross training important
• Drivers’ school early in the year to include:
o T&S training
o Tech training
• T&S – without a written log there is no way to rebuild a race
• T&S be careful of talkers in T&S
• Schools with FSAE teams – may be running every heat with multi-drivers --- they become the cleanup crew
• Drivers meeting – go over hand signals on course

NEWBS
• Novice course walk
• Can’t let interlopers be ignored (those folks that just show up to watch)
• 2 different things to give newbs:
• One for a driving novice
• One for the interloper --- here’s what this is all about
• Post event:
o Web – novice guide
o Forums – info
• Follow up
o Add to mail list for 3 months and extend
• Get members to bring their old SportsCar mag to events
• Kids in Street Survival (First Gear membership)
• First Gear membership – in general for younger
• Have a presence on other car interest forums
• Set up an Invitational – to car clubs – like Corvair Club, BMW, Porsche, Corvette, Triumph, Subaru
• Offer to run their AX event
• Social events – cruise-in
• Static display in malls
• Invite NEWBs to meetings, call them ahead of time & offer a ride
• Ask those who are starting to do modifications or showing up at multiple events to help with set up, tech, t&s
• Springboard people in to club activities
• Cars & coffee/cruise night – informal car show (why don’t we talk to food places to work in conjunction with us)
